Make it a Group Effort
Turn an event into a sign-up board of roles, shifts, supplies, and zones with the two-step wizard, then publish it.

A Group Effort is a sign-up board attached to your invite. You list what you need (people for jobs, supplies to bring), optionally split the day into shifts and the venue into zones, and guests claim spots straight from the event page. It replaces the old potluck feature: an event runs a potluck or a Group Effort, never both.
Open the wizard
From your event page, either:
- tap the Make it a Group Effort card (it shows to the host while the page is in edit mode), or
- open the ••• menu and tap Make it a Group Effort under Sign-ups.
Both open a sheet titled Group Effort setup. The wizard remembers a draft, so closing and coming back is safe.
If you don't see the card or menu item, either the event already has a potluck (publishing on one returns This event is a potluck. An event can run a potluck or a sign-up sheet, not both — turn off the potluck first.) or sign-ups haven't reached your account yet; email support@luau.co and we'll turn them on.
Step 1: what do you need?
Four sections, each with a toggle. Turning a section off hides its items but keeps what you drafted.
- People & roles — Jobs for the day. Tap Add role, type a name (like Check-in or Cleanup crew), set how many people with the stepper, and tap Add. Each role shows as a chip with its count; tap the pencil to edit or the × to remove.
- Time shifts — Set exact windows people can claim. Tap Add shift and set From and To times (new shifts start at 9:00–12:00). Shifts can fall outside the event window; the wizard just notes that volunteers start early or stay late. Multi-day events get a Use the same shifts every day switch or a per-day list (Swipe to set each day).
- Supplies & items — Food, water, gear — anything needed. Tap Add item, name it (Water, cleaning kits…), set how many, and pick a Unit if it isn't just "items": tap a preset chip (lbs, gallons, half-gallons, bottles, cases, packs, dozen, bags, boxes, pans) or type your own. Guests then see 3/100 lbs instead of 3/100.
- Zones & locations — People show up to a specific spot. Tap Add a zone for places like the registration tent or the grill. The first zone is pre-filled with the venue.
Tap Next · Put it together. You need at least one role or supply to continue.
Step 2: put it together
Every role and supply becomes a card. Tap a card to open it.
Roles (shift + zone + spots):
- When — Shifts, All day, or On call.
- Which shifts? — tap the shift chips this role runs on.
- How many people per shift? — one stepper sets the same count on every selected shift. Need different counts (five at lunch, two at close)? Use Or set each shift underneath to set each shift's number on its own. The caption totals it up, for example 2–5 per shift · 4 shifts · 14 spots total.
- Where — Anywhere or one of your zones (only shown if you added zones).
Supply drop-offs (window + spot + count):
- Drop-off window — Day before, Before start, or Anytime. Drop-offs don't have to happen during a shift.
- How many? — the quantity, plus the Unit field again if you want to change it.
- Where — as above.
Tap Remove inside a card to drop it. When you're done, tap Publish sign-ups.
What publishing does
- The board appears on your event page for everyone who can see the event, and the Sign-ups entries in your ••• menu switch to Manage sign-ups and Who's signed up.
- You get a Sign-ups are live screen with two share options: Share the whole board (a link anyone can open, no app download needed) and Share a specific need. See Assign someone or share a need.
- Publishing doesn't message your guests by itself. People find the board when you share it, when they RSVP (the RSVP confirmation mentions how many open sign-ups there are), and through the automatic still needed nudges 3 days and 1 day before the event. See Sign-up reminders and confirmations.
Changing your mind later is normal. Reopen the wizard any time with Manage sign-ups: Manage sign-ups after publishing.
Tips
- Roles need a Going RSVP; supplies don't. Someone who can't attend can still pledge supplies. Plan the asks with that in mind.
- Kai can draft the board for you. If you create the event by telling Kai about volunteers or "who brings what", it publishes a first version; refine it here afterwards. There's no AI suggest button inside the wizard itself.
- Held spots: you can reserve a spot for someone by name or phone before they've signed up. See Assign someone.
