# Make it a Group Effort

> Turn an event into a sign-up board of roles, shifts, supplies, and zones with the two-step wizard, then publish it.

A **Group Effort** is a sign-up board attached to your invite. You list what you need (people for jobs, supplies to bring), optionally split the day into shifts and the venue into zones, and guests claim spots straight from the event page. It replaces the old potluck feature: an event runs a potluck **or** a Group Effort, never both.

## Open the wizard

**On the web (app.luau.co in any browser — this is also the Android experience):**

From your event page, either:

- tap the **Make it a Group Effort** card (it shows to the host while the page is in edit mode), or
- open the **•••** menu and tap **Make it a Group Effort** under **Sign-ups**.

Both open a sheet titled **Group Effort setup**. The wizard remembers a draft, so closing and coming back is safe.

**In Luau for iPhone:**

On your event, tap the **Make it a Group Effort** card in **Next Steps** (*Set up roles, shifts, and supplies guests can claim*). The first screen is titled **What do you need?**

If you don't see the card or menu item, either the event already has a potluck (publishing on one returns *This event is a potluck. An event can run a potluck or a sign-up sheet, not both — turn off the potluck first.*) or sign-ups haven't reached your account yet; email support@luau.co and we'll turn them on.

## Step 1: what do you need?

**On the web (app.luau.co in any browser — this is also the Android experience):**

Four sections, each with a toggle. Turning a section off hides its items but keeps what you drafted.

1. **People & roles** — *Jobs for the day*. Tap **Add role**, type a name (like *Check-in* or *Cleanup crew*), set how many people with the stepper, and tap **Add**. Each role shows as a chip with its count; tap the pencil to edit or the × to remove.
2. **Time shifts** — *Set exact windows people can claim*. Tap **Add shift** and set **From** and **To** times (new shifts start at 9:00–12:00). Shifts can fall outside the event window; the wizard just notes that volunteers start early or stay late. Multi-day events get a **Use the same shifts every day** switch or a per-day list (**Swipe to set each day**).
3. **Supplies & items** — *Food, water, gear — anything needed*. Tap **Add item**, name it (*Water, cleaning kits…*), set how many, and pick a **Unit** if it isn't just "items": tap a preset chip (**lbs**, **gallons**, **half-gallons**, **bottles**, **cases**, **packs**, **dozen**, **bags**, **boxes**, **pans**) or type your own. Guests then see *3/100 lbs* instead of *3/100*.
4. **Zones & locations** — *People show up to a specific spot*. Tap **Add a zone** for places like the registration tent or the grill. The first zone is pre-filled with the venue.

Tap **Next · Put it together**. You need at least one role or supply to continue.

**In Luau for iPhone:**

- **Who's helping?** — pick from suggested role chips (**Setup Crew**, **Cleanup Crew**, **Greeter**, **Grill Master**, **Drinks Station**, **Parking**) or **Add your own role…**
- **What are we bringing?** — suggested supplies (**Ice**, **Cups**, **Napkins**, **Folding Chairs**, **Coolers**, **Trash Bags**) or **Add your own supply…** Quantities and units are set in the next step.
- **Shifts** — turn on **Run roles in shifts** and **Add shift** time windows. Multi-day events get **Same shifts every day**.
- **Zones** — optional spots at the venue. **Add a zone**.

Tap **Continue**.

## Step 2: put it together

Every role and supply becomes a card. Tap a card to open it.

**On the web (app.luau.co in any browser — this is also the Android experience):**

**Roles** (*shift + zone + spots*):

- **When** — **Shifts**, **All day**, or **On call**.
- **Which shifts?** — tap the shift chips this role runs on.
- **How many people per shift?** — one stepper sets the same count on every selected shift. Need different counts (five at lunch, two at close)? Use **Or set each shift** underneath to set each shift's number on its own. The caption totals it up, for example *2–5 per shift · 4 shifts · 14 spots total*.
- **Where** — **Anywhere** or one of your zones (only shown if you added zones).

**Supply drop-offs** (*window + spot + count*):

- **Drop-off window** — **Day before**, **Before start**, or **Anytime**. Drop-offs don't have to happen during a shift.
- **How many?** — the quantity, plus the **Unit** field again if you want to change it.
- **Where** — as above.

Tap **Remove** inside a card to drop it. When you're done, tap **Publish sign-ups**.

**In Luau for iPhone:**

The screen is titled **Put it together**. Roles have a **Works in shifts** toggle, the shift chips, a per-shift count under **Or set each shift**, and **Where?**. Supplies have a drop-off window (**Before the event starts**, **During the event**, **Anytime**; the web wizard's presets are **Day before**, **Before start**, **Anytime**, and either set is just a label guests see), a quantity, and a **Unit** field (*e.g. gallons, cases, half-gallons, dozen*). Any card can be flagged with **Mark urgent** so it's highlighted on the board and leads the reminder copy.

Tap **Publish sign-ups**.

## What publishing does

- The board appears on your event page for everyone who can see the event, and the **Sign-ups** entries in your ••• menu switch to **Manage sign-ups** and **Who's signed up**.
- You get a **Sign-ups are live** screen with two share options: **Share the whole board** (a link anyone can open, no app download needed) and **Share a specific need**. See [Assign someone or share a need](https://luau.co/help/assign-and-share-needs).
- **Publishing doesn't message your guests by itself.** People find the board when you share it, when they RSVP (the RSVP confirmation mentions how many open sign-ups there are), and through the automatic *still needed* nudges 3 days and 1 day before the event. ## Tips

- **Roles need a Going RSVP; supplies don't.** Someone who can't attend can still pledge supplies. Plan the asks with that in mind.
- **Kai can draft the board for you.** If you create the event by telling Kai about volunteers or "who brings what", it publishes a first version; refine it here afterwards. There's no AI suggest button inside the wizard itself.
- **Held spots:** you can reserve a spot for someone by name or phone before they've signed up. See [Assign someone](https://luau.co/help/assign-and-share-needs).

## Frequently asked

**Q: What kinds of sign-up events can I create?**

Luau sign-up boards work for anything from a casual potluck to a church fish fry, a school carnival, a race-day volunteer crew, or disaster response. Mix volunteer roles (with shifts and headcounts), supplies (with units), and zones at the venue, across events up to 14 days long.

**Q: What's the difference between a role and a supply?**

A role is people: spots on shifts that guests claim, and claiming one RSVPs them Going. A supply is a quantity guests pledge to bring, in the unit you choose (lbs, gallons, cases…), and someone who can't attend can still pledge it.

**Q: Can I ask for different headcounts on different shifts?**

Yes. In step 2, open the role and use Or set each shift to give each shift its own number instead of one count for every shift.

**Q: Do shifts have to fall inside the event hours?**

No. Setup and cleanup shifts can start before or run after the event; the wizard just notes it.

**Q: Can I set units like gallons or cases?**

Yes. Each supply has a Unit field with presets (lbs, gallons, half-gallons, bottles, cases, packs, dozen, bags, boxes, pans) or type your own. Guests then see 3/100 lbs instead of 3/100.

**Q: Does publishing send a message to my guests?**

No. Publishing makes the board live on the invite and schedules the automatic nudges. Share the board link yourself; RSVP confirmations also mention how many spots are open.

**Q: Can I run a potluck and a Group Effort on the same event?**

No. An event runs one or the other, and a potluck that was set up and later turned off still counts as a potluck.

**Q: Can Kai build the board for me?**

Yes, when you create the event: mention volunteers, shifts, or who brings what and Kai publishes a first version. There is no AI suggest button inside the wizard itself.
