Cancel or postpone an event

Cancel an event for good, or postpone it until you have a new date. Who gets told, what stays open while it's postponed, and how Set new date brings it back.

Plans change. Luau gives you two ways to say so, and both tell the right people for you.

  • Postpone when it's still happening but you don't have the new date yet. The event stays up with its original date struck through, guests can still RSVP, and everything else waits. Set new date brings it back and tells everyone.
  • Cancel when it's off. The page stays up marked cancelled so everyone can see what happened, and nothing else can change. This can't be undone.

There is no Delete. Cancelled events stay visible (read-only) and leave your dashboard's Upcoming list for Past.

Either way, everyone who RSVP'd Going or Maybe, plus your co-hosts, gets the notice by push, email, or text. Waitlisted and Can't guests aren't messaged. Hosts and co-hosts can do all of this.

••• → Postpone event → add a note → confirm. The banner takes over the page until you set a new date.
  1. Open your event and tap the ••• button at the top of the page.
  2. Tap Postpone event (near the bottom of the menu, above Cancel event).
  3. Postpone this event? tells you how many guests who said Going or Maybe will be notified. Add a note for your guests if you want (optional, up to 200 characters); it's included in the notice.
  4. Tap Postpone event (or Keep date to back out).

Postponing isn't available once the event has ended, and Hangvites can't be postponed (call them off instead).

While it's postponed

  • The event page shows a This event has been postponed banner (iPhone: Postponed) with the original date and your note. Guests see that you'll set a new date and that Luau will let them know.
  • Guests can still change their RSVP. Invites, sharing, sign-ups, check-in, edits, and reminders are paused.
  • On your dashboard the card keeps its original date struck through with New date coming and a Postponed badge, sorted after your other upcoming events.
  • In connected Google Calendars the entry is renamed ⏸️ [POSTPONED] and stops blocking the time.
  • After 30 days with no new date, Luau reminds you and your co-hosts (push and email) to pick a date or cancel. It never cancels for you.

Set a new date

  1. On the postponed event, tap Set new date in the banner, or open ••• and tap Set new date at the top of the menu.
  2. Pick the new date and time (only the date and time can change while the event is postponed), then tap Save new date.

The event goes straight back to normal: guests who said Going or Maybe (and your co-hosts) get a new-date notice, their calendar entries move to the new date, reminders are set up again, and all the paused features come back. Changing anything else waits until the event is back on the calendar; see Edit your event.

Cancel an event

  1. Open your event, tap •••, and tap Cancel event (the last item in the menu). A postponed event also has Cancel event in its banner.
  2. Cancel this event? tells you how many guests will be notified and reminds you it can't be undone. Add a note for your guests if you want (optional, up to 200 characters).
  3. Tap Cancel event (or Keep event).

After cancelling:

  • The page shows This event has been cancelled, who cancelled it and when, and your note. Nothing on it can change, and it can't be reopened.
  • Going and Maybe guests and co-hosts are told. Volunteers get the cancellation rather than a separate sign-up notice.
  • The event leaves Upcoming on your dashboard and appears in Past with a Cancelled badge.
  • Connected Google Calendar entries are renamed 🚫 [CANCELLED] and stop blocking the time.

You can cancel an event that has already happened (it's recorded as not having happened), and you can cancel a postponed event.

One date of a series

Open that date's event page: the ••• menu there has the same Postpone event and Cancel event, and only that date is affected. The series page also has Cancel this event under each date, and Cancel All Events for the whole series. See the series FAQ in Edit your event.

Asking Kai or a connected assistant

Kai and assistants connected to Luau (Claude, ChatGPT, Muse) can cancel, postpone, and set a new date too. They'll name the event, its date, and how many guests will be told, and wait for your yes before doing anything.

Questions

Frequently asked.

What's the difference between cancelling and postponing?
Cancel is final: the event page stays up marked cancelled, nothing else can change, and it can't be undone. Postpone keeps the event alive with no date: guests can still RSVP, everything else pauses, and Set new date puts it back on the calendar.
Who is told when I cancel or postpone?
Everyone who RSVP'd Going or Maybe, plus your co-hosts, by push, email, or text. Waitlisted and Can't guests aren't messaged. The confirmation dialog shows the exact number before you confirm, and the note you add (optional, up to 200 characters) goes out with the notice.
Can a co-host cancel or postpone?
Yes. Hosts and co-hosts can both cancel, postpone, and set a new date.
Can I undo a cancellation?
No. A cancelled event is read-only for good; create a new event instead. If you only need to pause, postpone it.
Can guests still RSVP to a postponed event?
Yes. RSVPs stay open (so people can tell you they're out). Invites, sharing, sign-ups, check-in, edits, and reminders pause until you set a new date.
How long can an event stay postponed?
As long as you like. After 30 days with no new date, Luau reminds you and your co-hosts by push and email to pick a date or cancel. It never cancels for you.
Can I delete an event?
No. Cancelling replaced deleting: the event stays visible as cancelled so guests can see what happened. Only Luau staff can remove an event entirely (email support@luau.co), and events go with your account if you delete it.
What happens in guests' Google Calendars?
Cancelled entries are renamed 🚫 [CANCELLED] and stop blocking the time. Postponed entries are renamed ⏸️ [POSTPONED] and stop blocking the time. When you set a new date, the entry moves to it.
Can I cancel an event that already happened?
Yes. Cancelling a past event marks it as not having happened. Past events can't be postponed.
Can I postpone one date of a series?
Yes. Open that date's event page; its ••• menu has the same Postpone event and Cancel event. The rest of the series is untouched. The series page also has Cancel this event per date, and Cancel All Events for the whole series.
