# Sign-up reminders and confirmations > Exactly what Luau sends around a Group Effort, when, and on which channel, for guests and for hosts. Source: https://luau.co/help/sign-up-notifications · Updated 2026-09-22 · Index: https://luau.co/help/llms.txt Luau composes all of these on the server, so they're the same whether the guest uses the web or the iPhone app. Scheduled nudges land between 8 am and 9 pm in the event's time zone; only the 30-minute shift reminder follows the shift itself. Every message respects the person's notification preferences: a channel they've turned off is skipped, even for shift reminders. Where a message can escalate, it goes push first (if the app is installed), then email (if they've added one to their profile), then a text, and stops as soon as one is seen. ## For guests **Confirmation after signing up.** One receipt on a single channel: a push (*You're signed up ✅*) if you have the app, otherwise an email with the subject *You're signed up for [event]: 2 shifts and 1 supply*, listing each shift (*Saturday, Oct 17 · 7:00 AM – 9:00 AM CDT*) and each pledge (*10 lbs of Fish fillets*). It waits about **3 minutes** after your last change so several claims in a row become a single receipt. It never escalates to a text. **Day-before shift reminder.** At **5 pm the day before** each day you're working: one message per day listing all your shifts (*Tomorrow: Greeter ⏰*). It can escalate as far as a text, because a volunteer no-show hurts the host. **30 minutes before each shift.** *Your Greeter shift starts soon* with the time and zone; if the zone has a map pin, the link opens Apple Maps at the exact spot. Push, then email, then text, five minutes apart, until one is seen. Supply-only pledges don't get this. **Still-needed nudges** go to guests who RSVP'd Going but haven't claimed anything, at **10 am about 3 days and 1 day before** the event, only while spots remain (*Still needed: Cleanup crew, Ice. Tap to grab a spot.*). Urgent items lead the copy. **RSVP confirmation** is a push if you have the app and an email if you've added one to your profile (it carries the **Add to Calendar** file), and it mentions the board: *The host still needs help with 5 open sign-ups — tap to pitch in.* Guests promoted off a waitlist get *You're off the waitlist! 🎉 A spot opened up — you're Going to [event]* by push, or by text. **Changes.** If the host removes your role, shift, or the whole board, you're told (*Your sign-up no longer exists. Your RSVP is unchanged.*). Changing your own RSVP away from Going releases your shifts and tells you so. **After the event.** About 2 hours after it ends, volunteers who worked a shift get an email thank-you with their hours and who they worked alongside (names are left out if the host hides the guest list). **Guests with no app and no email on file** (a phone number only): the sign-up receipt and RSVP confirmation don't reach them, because those never go by text. Everything time-sensitive does: shift reminders, the day-of reminder, still-needed nudges, date or time changes, cancellations, and waitlist promotions all fall through to a text. The Monday week-ahead digest is email only. Adding an email under Dashboard → Profile brings the confirmations too. ## For hosts and co-hosts - **Publishing sends nothing to guests.** It only schedules the nudges and the recap above. Share the board yourself: [Assign someone or share a need](https://luau.co/help/assign-and-share-needs). - **First sign-up:** a push, *Your first signup! 🎉 Maria took Greeter for [event].* Your own or a co-host's sign-ups don't trigger it. - **Every sign-up after that** rolls into a **daily digest at 9 am** in your event's time zone, covering the last 24 hours across all your upcoming events (*3 new signups 📋*). - **Assigning someone** who's connected with you on Luau sends them *[Host] signed you up 🙌* with the details. Holding a spot for someone else sends nothing; you get a pre-written text to forward. - **After the event:** a *That's a wrap* recap about 2 hours after the end time with spots filled, check-ins (if check-in was on), and total volunteer hours. This is separate from the check-in attendance recap; a host running both a board and check-in gets both. ## Regular event reminders (not sign-up specific) Guests who RSVP Going or Maybe get a **day-of reminder at 9 am** (earlier for events that start early; it reaches text if push and email go unseen) and a **week-ahead digest on Monday at 9 am** in their own time zone listing everything they're going to that week. Same-day RSVPs skip the reminder because the confirmation is the reminder. Each date in a recurring series sends an RSVP reminder at 10 am two days before and its own day-of reminder at 9 am (earlier for early starts). Turn any of these off under **Reminders** in Dashboard → Settings → Notifications; planning nudges from Kai are under **Kai suggestions**. ## Frequently asked **Q: Do guests get a confirmation when they sign up?** Yes. One receipt, about 3 minutes after their last change, listing every shift and pledge: a push if they have the app, otherwise an email. Several claims in a row become one receipt. **Q: When are volunteers reminded about their shift?** At 5 pm the day before (one message per day, listing all their shifts) and again 30 minutes before each shift starts, with the zone's map pin when there is one. **Q: Do reminders go out by text message?** Shift reminders can escalate to a text if a push and an email go unseen. Sign-up receipts never do. **Q: Will publishing the board message my guests?** No. Share the board yourself. Guests hear about open spots in their RSVP confirmation and in the automatic still-needed nudges 3 days and 1 day before the event. **Q: Do I get notified when someone signs up?** The first sign-up sends you a push right away. Everything after that arrives in one daily digest at 9 am in your event's time zone. **Q: Are volunteers told when I change or remove something?** Yes. Removing a role, shift, or the whole board notifies everyone affected (shift times are changed by removing and re-adding the shift, which does the same). **Q: Can guests turn reminders off?** Notification preferences are in Dashboard → Settings on the web. Reminders and nudges respect them.
