# Assign someone or share a need > Put a specific person on a spot (or hold it for someone not on Luau yet), share the whole board, and send one exact ask to the right person. Source: https://luau.co/help/assign-and-share-needs · Updated 2026-09-22 · Index: https://luau.co/help/llms.txt ## Assign someone to a spot **On the web (app.luau.co in any browser — this is also the Android experience):** On the board, hosts see **+ Assign someone** under every role and supply card. It opens **Assign someone — [need]** with two tabs: - **Your people** — search the people you're connected with on Luau (*Search your people…*). - **By phone** — **First name**, **Last name**, **Phone number**. For a role with shifts, pick the shift chips (full ones are disabled), then tap **Assign the spot** or **Hold the spot & get the invite**. **In Luau for iPhone:** Long-press a card on the **Sign-up Board** (or use the card's menu) and choose **Assign someone**. Pick a person or enter a name and phone, choose shifts, and confirm. Two things can happen: 1. **They're connected with you on Luau.** The sign-up is created on their behalf, they're RSVP'd Going if they weren't already, and they get a notification (*[You] signed you up 🙌*). Toast: *They're on the roster — we let them know.* Their reminders run as normal. 2. **Anyone else.** The spot is **held**: it counts against capacity and nobody else can take it, but Luau does not text a stranger. Instead you get a pre-written message (*[Host] signed you up to help with Greeter at [event] (Sat Oct 17, 8 AM). Confirm your spot: [link]*) with **Text the invite** and **Copy** buttons. The hold turns into a real sign-up the moment they open the link and sign in. Held spots show on the board with a *held* tag, count against that role's spots (not the event's guest cap), and stay held until the person confirms or you release them. Hosts can **move** a held spot to another role running the same shift, or **release** it (*Spot released — open to everyone again.*). There's no limit on how many spots one guest can claim. ## Share the whole board The board header has a share button (*Share the sign-up board*), and the **Sign-ups are live** screen after publishing offers **Share the whole board**. Both send a link plus a message: *Help make [event] happen — grab a role or bring something! No app download needed — opens right in your browser.* On a phone this opens the system share sheet; on a desktop browser the message is copied for you to paste. The link previews in iMessage, WhatsApp, and Slack with the current open counts. Guests can share it too. ## Share one specific need Know someone with a truck? Send them the exact ask. **On the web (app.luau.co in any browser — this is also the Android experience):** - Right after publishing, on the **Sign-ups are live** screen, tap **Share a specific need**. It lists only items with spots left (*2 spots open*, *8 gallons still needed*); pick one and the share sheet opens with a message like *Hey! Lisa is organizing the Fish Fry and they still need 2 more people for Cleanup crew — any chance you could help? No app download needed — opens right in your browser.* - Later, the same per-need share is on each card's share action on the board, and inside a supply's sign-up sheet as **Can't help? Send this to a friend who can**. **In Luau for iPhone:** On the board, use a card's menu and choose **Share this need**. The link opens the board scrolled to that need. It never claims "no account needed": the person will sign in with their phone number to claim, which takes a few seconds. ## Check-in QR (if check-in is on) If you've turned on **Location Check-in** in the ••• menu, the board header and the live screen offer **Print a check-in QR**: *Print it and put it at the door — guests scan to check themselves in.* It points at the event's normal check-in page, which confirms the guest is at the venue. With PartyPass check-in only, skip the QR: the check-in page opens only from a tag tap. ## Frequently asked **Q: Can I sign someone up myself?** Yes. Tap + Assign someone under a role or supply, pick a person from Your people or enter a name and phone under By phone, choose the shifts, and confirm. **Q: What if the person isn't on Luau?** The spot is held for them and counts against that role's spots (not the event's guest cap). You get a pre-written text with their invite link; the hold becomes a real sign-up when they open it and sign in, and they're RSVP'd Going at that point. **Q: Will Luau text people for me?** Only people you're connected with on Luau are notified automatically. For anyone else you send the invite text yourself; Luau never texts a stranger. **Q: How do I share just one role or supply?** Right after publishing, tap Share a specific need on the Sign-ups are live screen, or use the share action on a card. The message names the exact ask and links straight to it. **Q: Does the share link need the app?** No. It opens in the browser. The person signs in with their phone number to claim, which takes a few seconds. **Q: Can guests share the board too?** Yes. The share button on the board works for everyone, not just hosts. **Q: Can I move or release a held spot?** Yes. On the board, hosts can move a held spot to another role running the same shift, or release it so anyone can take it.
